Minutes from OARSS Friday meeting 2010-11

OARS MEETING MINUTES

1-13-12

John called the meeting to order at 7:30 am.

Minutes from the previous meeting were read and accepted.

OLD BUSINESS:

Bill McGaw reported on the manual. Copies have been emailed to the masters.  They have responded and the authors are still “tweaking” the details.  Bill wants to emphasize how important it is for everyone to wear PFD’s in the boats, as it is more likely to be a capsize emergency rather that one person falling out of the boat.  In the dark, the master is required to have a bright light that can be pointed at another boat on a collision course.  Also, one person in the boat should have a cell phone in a waterproof bag.  John suggested that a diagram of Cap Sante with the location of the emergency ladders be included in the manual.

Glide was moved into the SBC storage area.  The hoist is believed to be operational for our boats, but not for larger boats (John will confirm).  4 – 5 gal. buckets are needed to anchor Glide.

The La Connor race: we can start before, after or at the same time.  The all girl boat needs a master, as both Beth and Carlann still have injuries, as do other members of the crew.

NEW BUSINESS:

Robin reported that the NE corner of the shelter is tearing because there is no grommet.  She will get some Zip Ties to secure the cover.

We had a reminder that the Waterfront Festival will be held in June and volunteers will be needed to help.

If anyone is interested, a quarterly row to Guemes for breakfast will be scheduled.

David will need help with the coordination of the Pacific Challenge in June.  There will be hundreds of people attending, including 6 - 8 teams who will be here for 2 nights and 3 days.

The Treasurer reminded us that annual dues are now past due.

The meeting was adjourned at 7:56 am.

OARS MEETING MINUTES

1- 6 - 2012

John called the meeting to order at 7:32 am.  29 members were present.

Minutes from the previous meeting were read & approved.

A minute of silence was observed in remembrance of Billie Schooler.

This is the first Master’s meeting of the new year.  John asked that the masters think about topics they would like to have addressed and email them to him.  It is an opportunity for communication.

The Safety Committee has revised the operating manual.  Topics are presented in a more organized manner and procedures for each boat are given.  A comprehensive appendix has been added.  It will be posted on the website and comments are requested, especially if something needs to be clarified.  A written test for masters will be required by the end of April and an on-the-water test by the end of summer.

John gave the Treasurer’s report for Art:  In 2011 the total income for OARS was $12,652.00 and total expenses were $11,878.70 with a net income of $859.01.  There is $8,545.59 in checking and $11,635.68 in the contingency fund.

OLD BUSINESS:

David reported that there has been no action from the Coast Guard in regards to the Elizabeth Bonadventure.  Bill T. recalled that he may have the 5013C.

A schedule for the Friday morning row has been emailed.

NEW BUSINESS:

Vicki Stasch, a potential new member, was introduced.  Her phone numbers are 360-588-4924 and cell 599-288-5044.

The Port has allocated $80,000 to fix the hoist.  The problems with it are the result of design errors.  It will have increased capacity when the repairs are completed by the end of March.

Bill McGaw reported for the Safety Committee.  All children under 13 must wear PFD’s that fit, both in the boats and on the dock.  There are children’s PFD’s available at the Port.  The water temperature here is 46-47° and we would last only about 5 minutes in the water.  All masters should recommend that new members wear one.  Also, masters should provide a bright light when rowing in the dark.

It was stated that it may be asking a lot for #4 to be fending off both sides when coming in to the dock, especially if they have limited physical capabilities and that #3 should assist by fending off on the other side.  Perhaps the focus should be more on coming in slowly and straight, if possible.

Rotary Park is a good place to check the bay for whitecaps.

Meeting adjourned at 8:10 am.

OARS MEETING MINUTES

12-16-11

John called the meeting to order at 7:31 am.  19 members were present.

Minutes from the previous meeting were approved as corrected.

A new member, Keegan Janicula and her brother Barry who is visiting, attended the meeting.  She would like to row:  cell phone  360-982-2427.

 OLD BUSINESS:

Donn Wilson reported that he, David, Andy & others met to discuss what needs to be done to repair Glide.  The prep work could be done outside at Emerald Marine, however, present weather conditions would make that an unpleasant task. He suggested that we wait until spring when it is warmer.  Andy reminded them that our Rental Agreement with them covers storage of equipment and supplies, not boat storage, and after the first of the year they will need the space.  If we stored Glide in the Small Boat Storage Area it would cost $52.50/month for about 4 months.  Frank suggested that a mast storage rack could be built to save space.  It was moved and seconded that we store Glide in the SBSA; the motion was passed.

Jim Laurel and Donn Wilson are working on a maintenance manual for each boat.

There are still two masters who have not completed their annual review.  Bill will send them another email reminder.

There is a cut in the roll-up door which Boshie had to make while installing the door.  It cannot be glued until the weather is warmer.  When using this door, it should be tied securely when rolled up and all twist buttons should be secured when it is down.  The zipper door on the S side is very difficult to open/close, so most crews are entering and exiting by the roll up door.

John announced that there will not be meetings or rowing on Friday, December 23, 2011 or Friday, December 30, 2011.

 NEW BUSINESS:

No Friday rows have been scheduled for January.  Bill Testerman will send Chuck an email asking him to send a schedule for January.

David reported that Crew 81 and the Elizabeth Bonadventure are being reviewed by the Coast Guard to determine if they are a school boat or a passenger vessel.  David needs a copy of our 501C3 to send them.  At this time, no one is sure where the 501C3 is located.  The file boxes may be at Emerald Marine.

Michele discussed plans for a memorial bench for Jim and Billie Schooler which will be placed overlooking the dock and shelter.  Donations were accepted.

Torgy reported that he observed a boat coming into the shelter strike another boat causing a scratch in the paint.  Masters are asked to remind their crews that #4 should fend off on both sides of the boat.  Any damage must be noted in the log.  Carlann suggested that the throwing cushion could be used as a soft fender.  It was decided to exchange the Erica and Annie C. in the shelter again since we now have doors.

John will send out a notice reminding all Masters to attend the Jan. 6th meeting.

The meeting was adjourned at 8:00 am.

OARS MEETING MINUTES

12-9-11

John called the meeting to order at 7:30 am.  20 members were present.

Minutes from the previous meeting were approved.

A guest, Rick Boge, attended the meeting.  He would like to row:  cell phone  360-395-5743.

OLD BUSINESS:

The new doors are still being developed.  One of each kind has been installed.  The Velcro is not working out.  The Twistbutton door is working well.  The threshold cannot be lowered because of the frame, so we will have to continue to take care when entering and exiting the boats.  Much appreciation for Boshie’s work on the doors was expressed.

Bill McGaw reported that we are ok with the state charities program – OARS does not meet the qualifications needed to require registration.

Frank and Don are still working on the repair of the broken shelter frame.

Beth reported on the Small Boat Center meeting.  The hoist can be fixed.  They are also looking for a mast to step masts.  Jane has membership forms, which she gave to me.  Forms are also available online at www.anacortessmallboatcenter.com.  OARS members are encouraged to join:  $15 for an individual or $25 for a family.  OARS members have access to the hoist – there is a $5 fee and a combination must be used to get the key.  The next SBC meeting  is Jan. 9th, 2012.

It was moved and seconded to renew OARS membership in the SBC.  Motion was passed.

A presentation by Mark Schrader on his Around the Americas Voyage will be given Friday at 7:00 pm at the Marine Technology Center.

It was brought to our attention that some docking boats coming into the shelter have hit the Island Star and Elizabeth Bonaventure.  All masters should remind their crews to please be careful.

There are still several masters who have not completed their annual review.  Bill sent an email to them.

It was agreed to give a $50 gift to our server, Shawna Connors.  Art will get a card and enclose a check for her.

The meeting was adjourned at 7:52 am.

OARS MEETING

12-2-2011

Torgy called the meeting to order at 7:31 am. 20 members were present.

Lexie read the minutes from the last meeting. They were approved as read.

Art gave a Treasurer's Report. Income for Oct. 20 to Nov. 21 was $1,950. Expenses were $532.25. Net income was $1,417.75. There is 7,032.96 in Checking, and $11,589.79 in the WA Fed. Contingency fund. Total assets are $18,622.75.

Kathy Spitzer is the Race Coordinator. The first race will be Feb. 4th in La Conner. There is a men's crew already, and they would reserve the Island Star for a women's crew, if one were formed. Carlann volunteered to form a women's crew, and will submit a float plan.

ANNOUNCEMENTS:

Torgy reminded us that the belt kits make good gifts and are also a good fund raiser for Oars. Art will send out an announcement that they are available. Both men's and women's belts are available. Torgy can take orders: he needs waist measurements.

OLD BUSINESS:

The new shelter door is “great”. The shelter frame has a broken weld, and Frank has a plan to fix it.

NEW BUSINESS:

Bill McGaw received a letter stating that charities may have to register the with State if they meet certain conditions, such as asking for donations. Oars has asked for donations for the Pacific Challenge in the past. Bill will ask for clarification on this issue.

There is a Small Boat Center meeting Monday at 6:30 pm at AYC.

Oars meetings WILL be held on the Fridays after Christmas and New Years.

There was a very good showing of Masters at this first meeting of the month. There was some discussion about getting other Masters to come to the meeting. Art will send a notice to all Masters. This does not officially go into effect until the first Friday in January.

It was reported that Billie Schooler is being visited by Hospice, and both she and Jim are doing as well as can be expected. They would like company, however, call first. Anyone who sees them please extend best wishes from the club.

The meeting was adjourned at 7:53.

Torgy expressed approval that the decision was made to not have our boats participate in the Veteran’s Day ceremonies.  Weather conditions were not good.

Torgy also showed the belt kits that he assembles from the left-over oar leathers.  The kits come with all needed supplies and instructions.  The Men’s belt kits are $20 and the Women’s kits are $17.  All proceeds from the sales go to the club.  These would make unique gifts for Christmas!

Bill McGaw is co-chair along with Steve McLean on the Safety Committee.  He tells us that 13 masters have not yet logged that they have completed the yearly required maneuvers.  The Masters are to note the completed tasks in the front of the log book. He also reminded us that next year the masters will be required to submit a written exam as well as a witnessed demo of water maneuvers.

The Erica is now on the North side of the shelter.  The other boats have been moved slightly and secured to accommodate her larger size.

Donn Wilson is the Boat Maintenance chair.  We’ll hear more from him later.

Kathy Spitzer will be helping coordinate scheduling the various crew rowing events for the coming year.  Let her know if you have news of an upcoming event.  The crews need to file a float plan and cover the expenses of the individual races or events.

Everyone was encouraged to join or renew membership in the Anacortes Small Boat Center.  Memberships forms are available at www.anacortessmallboatcenter.com  $15 for individual and $25 for family memberships.

The meeting was adjourned at 8 a.m.

OARS

Minutes for November 11, 2011

President John Guinn called the meeting to order at 7:30. Twenty-one members were present.  Leah Hall, a potential new member, attended Nov. 4th and guest Roberta Beecher, is now a member of OARS!  Guest Phyllis Bravende is a prospective member. Minutes from Nov. 4 were read and accepted.

Old Business:

Beth Bell announced that for now, she’ll not be able to continue as head of the Boat Maintenance Committee.

Steve McLean updated everyone on the plans for the Veteran’s Day boat parade. Alaska’s weather front has slid South with rain and potentially high winds, so Plan A and Plan B have been cancelled. A wind advisory of 20-30 knots even keeps the Elizabeth Bonaventure under cover. Frank Orr inquired about the fender missing from the Nov. 8th practice. The clipping from an editorial in the Anacortes American was passed around, sharing the good publicity OARS received. Steve was thanked for all the time and effort he’s invested in planning this event.

The shelter repairs were discussed—Boshie and Robin are planning to add 2 inches of velco on the sides, replacing the zippers, and sewing in side ties for the openings. The threshold of the “doors” can’t be lowered, as suggested, because of the metal framework.

New Business:

A placemat was passed and signed for Billie and Jim Schooler, who are now residing in hospice care.

The Friday AM Row Crew was discussed as to whether any changes are needed, since some members are absent due to previous lengthy commitments.  Bill Testerman will make an necessary contacts, and Chuck Ackerman will continue to monitor that rowing slot via his cell phone while out of state during the winter.

Carlann Copps requested a meeting for the Trustees to prepare the coming year’s budget. John Guinn will schedule.

John announced there will be no meeting the Friday after Thanksgiving, the Friday after Christmas, nor the Friday after New Years Day.

Beth reminded us of the Small Boat Center meetings, held on the first Monday of every month.  This year, the Pacific Challenge will again be hosted here, June 1-3.  Also, the Lido Nationals need some volunteer helpers.

Frank Orr announced next year’s Steam Engine event will feature over 25 steam boats  participating  on Oct. 10, 2012.

A special thank you goes to Tom Gates for sharing the fresh cranberries he’d picked. The meeting was adjourned at 8:00…cranberries were bagged and shared.

OLD BUSINESS:  Carlann thanked the volunteers for officers for the coming year:

            President:         John Guinn

            VP:                  Torgy Torgerson

Secretary:        Gale Thompson & Chuck Ackerman

            Treasurer:        Art Shotwell

The Annual Meeting will be Saturday, Oct. 29th at 06:00 pm at AYC.  It is a potluck.  The guest speaker will be F. Jay Smith who will describe the construction of a traditionally crafted 56’ Norse ship.

Glide:  Beth will have a report next week.

NEW BUSINESS:  Bill Testerman announced that the new Tholepin will be out today and that Michele has done a great job.  Thanks Michele!

Zippers:  all four need to be replaced.  This will be completed by next summer.

A question was raised concerning an OARS flag.  There was one at one time, but no one present knew where it was.  A flag or banner might be a good thing to have for public events.

Carlann passed around photos of one of the boats that were taken by Ross Anderson on Aug. 27th.  He requested that the names of the rowers be emailed to him.  Carlann did this after the meeting.

Steve McClain thanked the trustees and officers who volunteered to run for next year.

 OARS Non-meeting Minutes for 7 October 2011

Called to order @ 07:30 by Carlann with 9 members present.

Announcements:  Only two officers present, so this is a non-meeting.

A printed wild bear story was passed around.

The Glide work has now slipped into a less desirable weather time.

Gale and Jim said their AK trip was 2555 miles, 80% under power.  Great adventure, a highlight was seeing a whole school of humpbacks.  Only mechanical problem was after the voyage was actually over, the engine overheated when they went from Cap Sante to Anacortes Marina.  They visited former OARS member Steve Jones in Craig.  He is electronically isolated and any member who knows him is encouraged to send him a postal letter.

Old Business:  VP nomination maybe was Bill Testerman.  He suggested it should be David Pratt.  David seemed to accept after he found out his tenure as trustee is over at the end of this month.

An idea to continue the 08:00 Tuesday boat under multiple masters ala Friday row was not discussed because that is an individual boat decision.

Shelter zippers continue to be a problem.  Jim suggested that West Marine sells an effective lubricant.  We surmised that Robin or Bill are on top of that.

OARS Meeting Minutes for 16 September 2011

Called to order @ 07:30 by Carlann with 12 members present.

Announcements:  James told the tale of the Wooden Boat Festival.  The start was tumultuous with one large boat being especially errant.  The Island Star was assigned #41, so there were over 40 boats.  The average age on our boat was 63.1, while the Salish Star had Kim Aldrich as their oldest person.  We were faster by far and won by 6-1/2 minutes.  The Salish Star crew was congenial but less experienced.  Future activities could maybe be planned.  Tom Gates helped significantly and passed around pictures.  The Island Star is at Emerald Marine to get a new keel shoe.

Old Business:  Carlann confirmed that our annual meeting will be 29 October at the Anacortes Yacht Club.

Steve McClean has a tentative VP candidate.  Carlann suggested asking Gayle Thompson to be secretary November-February.  She is in Port Hardy now.

New Business:  Jim Laurel said he and Phil, Keith, David and a cox will go to the Salmon Roe on Lake Samish on the 24th.   They want to take the Island Star.  James said the backboard has been moved back one inch and the oarlocks now have cleats to secure them; it should be ready.  A float plan will be filed. The race is sponsored by Sound Rowers; there is further info. at SoundRowers.org.

Michele said that Fidalgo Bay Days will be at Seafarer’s Park tomorrow.  She also said that Rod Kolbach will talk at the Small Boat Center annual meeting potluck on 3 October at 18:00.  Also, the Labyrinth stones are being cut and will arrive in 3 weeks.  She has raised half of the needed funds and Parks Dept. fronted the remainder.

David Pratt will be rowing in Everett in an 8-oar shell.

Carlann gave thanks to Jim Laurel the letter he sent to masters.

Motion was made, seconded and passed to reimburse the expenses for  transporting the Island Star to and from the Wooden Boat Festival.  The new oars were too thick at the leathers to fit into the oarlocks so the carbon fiber ones will be used.

New Business:  David presented a bill for Island Star cleaning supplies.

Announcements:  Jack Middleton thanked the club for the rowing cards and nursery gift certificate given to him and Anne for providing boat storage.

James McMillan had a birthday 11 August and is trying to reach the group’s median age.

Old Business:  James said the Wooden Boat Festival will be in Port Townsend and the Island Star will challenge the Salish Star on 10 September at 10:00.  He is finalizing crew and logistics.  The boat is on the blue trailer at Bob Brode’s and Donn Wilson is working on it.

Jim Laurel on slip rub strips:  Annie C does not need fenders, but Glide and Erica need two fenders out on dock side.

Annual Meeting is set up for 29 October at Anacortes Yacht Club.

Steve is looking for candidates for vice-president, Nov-Feb Secretary and one Trustee.  David needs a treasurer for Crew 4081; Bill McGaw may fill this slot.

Beth said the Glide work crew captains will be Boshie, Torgy, Jack M., Donn and Bob Brode.

Bill T. put the rowing cards purchase instructions on our website.  He will change the Friday rowing schedule to be under one heading.

Bill M. found a boat improperly secured and open doors again.  Echos of other occurances.  Door at log book should be zipped unless the next crew is there or a boat is active.  Also, the last master before a schedule gap should check all boats.  Maybe we will have to reinstate the requirement for every crew to have a master at the Friday meeting.  Carlann may call a Masters’s Meeting and/or have Art send a bulletin.

OARS Meeting Minutes for 26 August 2011

Called to order @ 07:30 by Carlann with 12 members present.

Announcements:  Erica may have her floorboards removed by Jim Laurel.

Beth is back in Anacortes.

Old Business:  Annual Meeting location and date were discussed.  Motion made, seconded and passed for David to arrange for Anacortes Yacht club on October 29th.

David updated us on Crew 81.  The Romanians went to Saddlebag and cleaned the boat. The Island Star is growing barnacles.  There was a 6 PM Tuesday sail on the Elizabeth Bonaventure with parents and two new kids.

David Jackson asked for OARS support for the June 2012 Pacific Challenge.

A motion was made, seconded and passed that we would host that event.  Volunteers are needed.  Event activities were discussed.

New Business:  Bill Testerman asked for clarification about rowing card issuing procedures.  Best way is to bring a check (or cash) to a meeting.  Alternatively, members may send a check to OARS at P.O.Box 414.  If a stamped, self-addressed envelope is included, the rowing card will be mailed back.

OARS non-Meeting Minutes for 19 August 2011

Called to order @ 07:30 by Art (only two officers present, so this was a non-meeting) with 11 members present, plus returning member, Bill Huffington (He has the slip next to our shelter.).

Announcement:

Old Business:  Robin reported that she, Lexie and John cleaned the shelter last Saturday.  It looks good.

Chuck talked to Liz and it is A-OK for OARS to continue storing trailers beside their barn near Satterlee.

There was banter about Carl’s boats for sale.

Art needs a crew member for 06:30 Tuesdays.

Steve’s 08:00 Tuesday boat will row to Guemes and have coffee at Anderson’s store.  Chuck’s boat may go too, if the two crew not at the meeting agree.
